Accounts Payable Associate - 6 month term

Position Summary:

Reporting to the Manager, Accounts Payable, the Accounts Payable Associate provides administrative and clerical support by ensuring payments are completed and expenses are controlled by receiving payments, processing, verifying and reconciling invoices according to established policies and procedures in an efficient, timely and accurate manner.

Key Accountabilities:

  • Verify invoice accuracy, 3-way match to purchase orders, coding invoices and obtaining approvals.
  • Follow up with consultants/vendors for inquiries or discrepancies.
  • Reconcile invoices, intercompany transactions to ensure accuracy and completeness.
  • Support the business to ensure accurate flow of invoices in a timely manner.
  • Communicate with buyers, warehouse and vendors regarding discrepancies.
  • Support other AP department personnel on processes and procedural issues. (To keep them aligned)
  • Perform other operational duties:
    • Calculate and allocates Sexton rebate amounts to GL account.
    • Update procedure manuals as changes are implemented.
    • Participate in rotating mail distribution.
  • Follow company processes and controls.
  • Resolve issues, serve as a resource in troubleshooting complex matters and ensure that problems are responded to in a timely manner – know when to escalate.
  • Provide excellent customer service to all stakeholders, including vendors, facilities and colleagues.

Required Qualifications:

  • Accounting diploma with a minimum of 5 years of progressive Accounts Payable experience, or equivalent.
  • Strong interpersonal and communication skills.
  • Proficient with Microsoft Office (Excel and Word).
  • SAP and D365 experience an asset.
  • Understanding of the procure to pay process.
  • Ability to multi-task, meet firm deadlines, proactively prioritize needs and effectively manage priorities.
